Essential Functions:
Process incoming Requests for Service for Billable Service jobs track them through completion.
Setup new customer accounts when required.
Process incoming credit card payments and purchase orders for Billable Service Jobs Obtain information from customers and internal employees to help schedule service technicians.
Order parts for completion of service work.
Coordinate with the Service Advisor on scheduling technicians for billable repair and PM work.
Ensure that all information regarding repairs or maintenance is entered into the Case notes in Salesforce.
Ensure that all Technician time is accounted for in Salesforce against each Case.
Ensure that all reports are received from Technicians on a timely basis.
Close Billable jobs once they are completed and ensure that they are invoiced.
Effectively share information through various means of communication.
Inform sales staff and customers of any delays or changes in service dates.
Consult with the Service Manager if a request has unique requirements such as after-hours work.
Contact building owners of company equipment, io determine if they are interested in Preventive Maintenance Contracts and maintain a database of those contacts.
Review Invoices from CSCs including lab results and work done.
Work with the Service Advisor and Service Manager to review and manage time off for all service technicians to ensure that adequate coverage will be maintained throughout the year.
Provide backup coverage for the Service Advisers as needed:
Process incoming Requests for Service for start-up, warranty, and training jobs.
Processes Return Material Authorizations with appropriate suppliers or factories.
Maintain separate records on service labor to perform warranty work on equipment that the manufacturer deems recoverable.
Required Skills:
Detail-oriented Multitasking Time Management Data Entry Communication Analytical Required Experience and Education:
High School diploma required (though a college degree is preferred) Minimum 5 years of experience with business operations, administration, or related field.
Mechanical Aptitude to learn HVAC, hydronic systems, and components.
Experience with Salesforce or similar ERP.
Sales or Sales Support Experience of mechanical equipment Billable Service company experience About the Company:
